What to Automate in AP First — And in What Order

AP automation fails when firms try to automate approval workflows before their invoice data is clean. Follow this sequence. Each step is a prerequisite for the next.

  • Step 1 — Invoice capture: Use AI-powered OCR to pull vendor name, amount, and due date from every invoice automatically. Eliminate manual data entry first.
  • Step 2 — Three-way matching: Match the invoice to the purchase order and the receipt before it moves to approval. This is where most payment errors are caught.
  • Step 3 — Approval routing: Route invoices to the right approver based on vendor, amount, or cost center — automatically, without email chains.
  • Step 4 — Payment scheduling: Schedule payments by due date and cash position. Capture early-pay discounts where available.
  • Step 5 — Vendor payment: Execute ACH, check, or virtual card payments from within the tool. Eliminate the separate payment step.
  • Step 6 — Audit trail: Every action — who approved, when, for how much — logged automatically. This is the compliance dividend of a working AP automation stack.

AP Automation Software Compared

These tools serve different firm sizes and budgets. The right choice depends on your invoice volume, how many approvers you have, and whether you need international payments.
