Set these rules first
1. Do not paste private data into public AI tools. Keep customer names, emails, contracts, payment details, medical details, employee files, passwords, and trade secrets out of public AI chats.
2. Use only approved AI tools. Make a short list of tools staff can use. Tell people which tools are banned or need manager approval.
3. Check every AI answer before using it. AI can be wrong. A person must check facts, prices, dates, laws, claims, and numbers before sending work to a customer.
4. Do not let AI make final decisions. AI should not make hiring, firing, credit, refund, medical, legal, safety, or pricing decisions by itself.
5. Label AI-assisted customer work when needed. If AI helped write a customer-facing item, check whether your business should disclose that help.
6. Keep business records in business systems. Do not use an AI chat as the only place for quotes, approvals, customer notes, or project decisions.
7. Report mistakes fast. If someone shares the wrong data or sends a bad AI answer, they should tell a manager right away so the team can fix it.

Clean up wording. Ask AI to make approved text clearer, shorter, or easier to read.
Plan work. Ask AI to turn safe notes into steps, timelines, and task lists.
Train staff. Ask AI to make fake examples for practice. Do not use real customer or employee data.
